1. Introduction
Welcome to the tender for professional photography services for Casino Beef Week, a celebrated agricultural event in Northern NSW that showcases the region’s rich cattle farming heritage. This tender specifically focuses on two key events: the Youth Camp from 5th-7th April 2024 and the Cattle Shows on 22nd, 24th, and 25th May 2024. These events are a cornerstone of the community, bringing together residents, farmers, and enthusiasts from across the region and beyond. The selected photographer will play a pivotal role in capturing the spirit and activities of these events, which include youth educational programs, cattle judging, and various community engagements.
2. Scope of Work
The scope of work for the selected photographer will encompass the following responsibilities and requirements:
Youth Camp (5th-7th April 2024):
- Documenting interactive workshops, educational sessions, and hands-on activities focused on cattle farming and agricultural practices.
- Capturing the engagement and participation of the youth, including candid shots and group photos.
- Highlighting key moments and achievements of participants.
- Hosting of informative educational activities for participants of the camp.
Beef Week Cattle Shows (22nd, 24th, 25th May 2024):
- Providing comprehensive photographic coverage of the cattle judging events, showcasing a variety of breeds and categories.
- Capturing key moments including award ceremonies, participant presentations, and special guests.
- Please note: General event atmosphere, including spectators, vendors, and special attractions, are excluded from this scope, as these will be covered by a general photographer.
General Requirements:
- Delivering high-quality, professional photographs that effectively capture the essence of these community-centric events.
- Ensuring a quick turnaround time for a selection of key images for immediate media release, followed by a comprehensive set of edited images.
- Working closely with event organizers to understand specific photography needs, including key individuals, events, or moments to be highlighted.
- Adhering to all safety and ethical guidelines while navigating the event, especially around live animals and during youth activities.
The photographer will be expected to deliver digital copies of all photographs, with rights for unrestricted use by the Casino Beef Week organizers. The ability to offer additional services such as print options, online galleries, or extended coverage would be advantageous.
3. Tender Submission Requirements
Submissions should include:
- A portfolio showcasing previous work, particularly in similar events or agricultural settings.
- This portfolio must include cattle photography, both on farm and in a show setting.
- A detailed quotation including pricing structure.
- Availability for the specified dates of the event.
- Outline of equipment and backup provisions to ensure uninterrupted service.
- Any additional services offered, such as online galleries or print options.
- Confirmation of valid Working with Children Check
4. Evaluation Criteria
Tender submissions will be evaluated based on:
